Agendas will be posted 72 hours prior to a Regular Board Meeting and 24 hours prior to a Special Board Meeting. Current agendas can be found online at BoardDocs. Board agendas are posted on the Evergreen School District website main page, BoardDocs and a physical copy of the agenda of the board meeting is posted in the District Board Room at 3188 Quimby Rd. San Jose 95148.
Regular meetings of the Board of Trustees are scheduled July through June on the second Thursday of the month at 6:30 p.m. in the District Board Room (dates and location are subject to change). Meetings are Called to Order at 5:00 p.m. at which time the Board convenes to Closed Session (time subject to change, please check agenda). The Board's practice has been to then reconvene to Regular Open Session at 6:30 p.m. The public is invited to attend the board meetings during open sessions on regular or special board meetings and study sessions.
Members of the public who wish to address the Board of Trustees during Matters From The Public or to address an agenda item are to send an email to firstname.lastname@example.org by the start of the open session (6:30 p.m.) or by completing a speaker card and submitting it to the Director of Board Services no later than the start of the open session. Speaker cards are to be submitted to the Director of Board Services who is seated at the dais, next to the Superintendent. Should a member of the public wish to speak to the Board of Trustees regarding an item on the Closed Session agenda, he/she may do so by sending an email to email@example.com before the start of the closed session. Members of the public may speak to the Board of Trustees regarding agenda items during a non Closed Session right before that agenda item is addressed.
The Board allows up to two (2) minutes per speaker per agenda item, and a maximum of fifteen (15) minutes per agenda item. To ensure that all speakers are provided an equal opportunity to address the Board, individual speakers may not yield their allotted time to address the Board to other speakers. The Board may limit the total amount of time allocated for comment on an agenda item (Government Code 54954.3[b]).
If someone wishes to speak on an item that is not on the agenda but is within the jurisdiction of the Board, he or she may do so during Matters From The Public. The process and time allotment is the same as speaking on an item on the agenda.
In compliance with Government Code 54954.2, no action or discussion shall be undertaken on any item not appearing on the posted agenda. The Board or its staff may briefly respond to statements made or questions posed by the public or ask a question for clarification. The Board may also provide a reference to staff or other resources for factual information, request staff to report back to the body at a subsequent meeting concerning any matter, or take action to direct staff to place a matter of business on a future agenda.

Effective 9/9/21, to stay consistent with CDPH guidance and to mitigate the risk of exposure to the COVID-19 virus, board meetings are held for the public via Zoom and with the Board of Trustees and certain members of the Evergreen School District staff and community members who are essential to be present for the board meeting. Masks must be worn at all times in the boardroom.
